Providence is calling a Senior Facilities Manager (Full time/Day shift) to Providence Cedars-Sinai Tarzana Medical Center in Tarzana, CA.

We are seeking a Senior Facilities M an ager who will be responsible for providing strategic direction, planning, and leadership for all aspects of departmental functions for the Facilities Division, which includes Engineering Services and Bio Medical Departments, in order to maintain their efficient operation. Coordinates and administers policies, procedures, programs, and resource planning within the Division in support of overall hospital goals and objectives. Responsible for management and supervision of Management staff within these areas. Responsible for maintaining the statement of conditions for the hospital on an ongoing basis. Responsible for coordination of facilities and construction during major construction of new five story tower and seismic fitting of existing facility. Will work closely with PTMC leadership, contractors, architects, etc. on construction projects from concept, budgets, programing, schematics, design, and construction document, construction CO audit and closeout. He / She will be involved in project budget, development, and review/approval process. The selected candidate work closely with accounting, architect of record and contractors to complete the audit of finances, construction documents and records required for closeout of each project. As the owner representative, the Director of Facilities Construction is responsible for the oversight of the construction projects, annual construction budgets planning, management, scheduling, execution of PTMC and subsidiaries construction or renovation projects; while keeping leadership informed.

  • Participate actively in department staff meetings.

  • Demonstrate effective verbal and written communications.

  • Communicate effectively in a clear, concise, understandable manner. Applicable for the populations Adult and Geriatric.

  • Ensure operational efficiency of the departments that make up the Facilities division through:

  • Providing leadership and guidance to Management staff regarding department activities.

  • Establish long-term and short-term goals and objectives that are consistent with environment of care and in support of the Hospital’s strategic and operational goals.

  • Provide guidance and recommendations to Management staff regarding decisions that impact operations.

  • Communicate on a regular basis with Administrator regarding vital situations and maintaining open lines of communication regarding support services issues.

  • Assist the Management staff in assessing the need for changes or other intervention in the accomplishment of departmental goals and objectives.

  • Responsible for the statement of conditions for the facility on an ongoing basis, within the scope of the LSC assessment activities, and the building complexity and occupancy type(s) being assessed.

  • Assure that Facilities departments operate within organizational financial objectives by:

  • Maintaining responsibility for guiding financial/budget planning including managing the implementation of capital expenditures, and cost control.

  • In coordination with Management staff analyzes operational and financial data making strategic plans to ensure the department meets future needs.

  • Routinely reviewing budget variance / performance to actual results to facilitate corrective measures in coordination with the respective the Management staff.

  • Facilitating critical budgetary communication to Administrator.

  • Ensuring plans for the ongoing and future capital needs of the departments, are prepared and in support of Hospital objectives. Directs performance improvement for the areas.

  • Plan, develop, organize, recommend and implement facilities management, facility construction management and contract administration in accordance with existing federal, state and local standards.

  • Serve as liaison with utility and governmental officials to ensure conformance with international building codes and all fire and safety standards and regulations.

  • Monitor all utilities expenses for the hospital and takes appropriate action in implementing or improving cost control measures.

  • Administer the operations of the Central Plant ensuring all utility services are maintained throughout the facility.

  • Develop, review, revise policies and procedures as necessary. Direct departments in compliance with established policies and procedures of the Hospital, regulations of applicable regulatory agencies and standards of JCAHO.

  • Develop, and implement departmental goals and objectives that support and enhance the hospital’s mission. Establishes means to measure, record, and track success in meeting the goals and objectives.

  • Ensure staff performance evaluations are conducted in a timely manner, and that performance evaluations are fair and consistent and that performance expectations are communicated.

  • Responsible for appropriate conduct management of staff members. Performs conflict-resolution, present staff commendations, conduct problem solving and implement progressive disciplinary actions appropriate to Hospital policies and procedures.

  • Catalyst for identifying and communicating departmental goals and objectives that support and enhance the hospital’s mission. Establishes means to measure records and track success of meeting the goals and objectives.

  • Liaise with facilities/engineering leadership and departments regarding affected planning utilities interruptions, caused by construction or renovation projects.

  • Expected to round on projects and meet with construction leadership team and departments affected to confirm property signage, productivity, ILSM, ICRA, best practices and customer satisfaction is ongoing during each project.

  • Demonstrate knowledge of construction means and methods related to the trade. Maintain construction project documentation and closeout of each project. Inspect construction and renovation projects periodically to see that safety regulations are met and efficient productivity and best practices are maintained. Conduct departmental rounding to ensure OSHA, ICRA, ILSM, noise control and best practices are ongoing.

Qualifications:

Required qualifications for this position include:

  • Current LA City Fire Card within 30 days of hire

  • Three (3) or more years progressive management/supervision experience in construction, and maintenance of equipment, utilities, and buildings, in healthcare

  • Ability to plan and execute a full range of administrative tasks in operating a large and complex department

  • Ability to analyze complex problems and situations and realize potential effects of proposed actions

  • Proficient in knowledge of federal, state and local building codes, standards and specifications

  • Proficient in facilities management techniques for healthcare facility

  • Proficient, qualify and competent to complete and follow up the statement of conditions with the scope of the LSC assessment activities, and the building complexity and occupancy type(s) being assessed

Preferred qualifications for this position include:

  • Bachelor's Degree in Engineering or equivalent field

  • Los Angeles County Boiler Operator License

  • Certified Healthcare Facilities Manager designation (CHFM)

  • A proven record of accomplishment in TJC Surveys, and maintain everyday regulatory readiness

  • Should be able to read and interpret blue print construction documents, CA Building Codes, OSHA rules, and regulatory standards, as related to the hospitals, healthcare and business construction trade
